Import payslips
Access: Menu > HR Portal > Documents
In this “Documents” space, a tab is entirely dedicated to payslips. Employees will then be able to easily find all their payslips in this menu!
But first, how do you import employee payslips? 🤔
User profiles authorized to manage payslip imports were determined beforehand in the “Paramétrage des documents” menu:
As a document administrator, you will see the “Ajouter des bulletins” button appear in the “Bulletins de salaires” tab of the Documents space.
This feature allows you to import payslips for one or more employees by choosing the frequency.
Prerequisites
- Enter the Social Security number, last name, and first name in each employee record. This information must be entered identically in your payroll software.
- Payslips must be in PDF (Text) format 1.5 or later (if this is not the case, read this article: PDF version for import into Eurécia).
Warning!
The payslip import file must not be encrypted or password-protected to be read by Eurécia. Otherwise, the import will fail.
- I click the “Ajouter” button, then search for the file to import,
- I enter a description. If forgotten, the system uses the current month followed by the current year as the label,
- I select the month and year of the payslips to import. By default, the system defaults to the current month and year,
- I can also choose to notify employees of the arrival of this document in their “Documents” space,
- Finally, I click the “Ajouter” button.
If you want to review the latest payslip imports or check an item, you can consult the import history available to you.
Warning!
If the import does not work, make sure that the PDF file contains the payslips in text format, and not as an image. To check this, try selecting text within the PDF: if possible, it is indeed a text format. Otherwise, ask the accounting department for the payslips in text format.
💡 Extra tip: the import is asynchronous, meaning that once launched, you can continue working on Eurécia without waiting for it to load. You will simply receive a notification once it is completed!
From then on, employees will be able to find their payslip in the “Bulletin de salaire” tab of their Documents space:
