It is not always easy to track the schedule of all your employees: who is on site, who is on leave, who is working remotely 🤔?

With Eurécia, you can see at a glance whether your colleagues are present or absent!
Here we explain how it works and how to set it up according to your expectations.

What is the presence status?
This is a green or red dot representing the “Absence” or “Presence” status of your employees.
You will find it in the employee directory in “photo directory” mode, in “list” mode, as well as in the top banner search bar:

This dot can have several labels:
- Green / Present: the employee is considered present. They are working normally that day or the recorded absence is treated as actual working time.
- Red / Absent: the employee is considered absent. This situation can correspond to a non-working day in their work schedule, an absence or leave request, or a contract that has not yet started or has already ended.
- Green / “Leave type label”: the employee has requested an absence treated as actual working time. They therefore appear as present, with details of the type of absence concerned. This is notably the case for remote work.
- Green / Other absences: the employee has requested an absence treated as actual working time, but the reason for this absence is confidential. Details are therefore not displayed.
It relies on information from the leave schedule only. If the time slot is “grayed out” then your employee will appear as “Absent” and vice versa, of course 😊!
Configure my absence / presence statuses
Access: Admin area > Leave & Absences > Types de congés
Our advice: Do you want an overall view of the configurations? Go to Admin area > Leave & Absences > Types de congés and export all your leave types to Excel by clicking the dedicated button.
You can indicate very simply and independently of all other settings whether each type of absence should be considered as an absence or a presence in the eyes of other employees. Very practical for remote work 😊!
- Open the type of leave or absence you wish to configure.
- In the first section, select the status associated with this absence. This status will determine the display on the platform:
- Absent: display with a red dot.
- Present: display with a green dot.
- “Leave type label”: display with a green dot accompanied by the label of the absence.
- Save your changes.
⚠️ Warning!
In the configuration of your absence type, in the “Autres paramètres” section, you can indicate that the absence reason is confidential by checking the “Affichage confidentiel dans le planning congé” box.
In this case, if you chose to display the absence type label in the presence dot, the reason will remain confidential and the label displayed will be “Autre absence”.
Note for users of the Time & Activities module: Setting up these parameters has no impact on the calculation or inclusion of hours worked in your timesheets or for calculating overtime.
Who is absent today?
On the home page, you can see at a glance which of your colleagues are absent today:
The display of absent people on the home page corresponds to several criteria:

The visibility associated with the employee's user profile on the leave and absence schedule
Example: if the employee's user profile allows them to view only their team, only members of that team will appear in the absence box.
Any modification to the user profile must be requested in writing from Eurécia support.

The visibility restrictions defined in the employee record
Example: if a visibility restriction is set for their own department in their employee record (Règles tab), the employee will only be able to view the absences of employees belonging to that department.

The working schedule of the absent employee
Example: if the employee's working schedule is from 08h00 to 12h00 then from 14h00 to 18h00, they will appear as absent only during these time slots, i.e., from 08h00 to 12h00 then from 14h00 to 18h00.
⚠️ Warning!
If several absences are submitted back-to-back, the system will recalculate each morning what it needs to display (according to the schedule).
On the other hand, for an absence of several consecutive days submitted all at once, the employee will remain displayed in this box from the first day of absence and for its entire duration.
⚠️ Warning!
The display takes into account the working schedule that applied at the time the absence request was submitted.
This means that if the employee's working schedule is subsequently modified to start at 06h00, they will only appear absent starting at 08h00 (as scheduled at the time their absence was submitted and approved).
