What is a secret Santa?
The idea behind a Secret Santa event is to organise a random draw among a group of people (your colleagues, in this case). Each colleague is the Secret Santa for another colleague and must therefore give them a small surprise. 🎁
Launch a Secret Santa in your company
Access: Homepage > Secret Santa card
Have you just discovered a new card on your homepage? That's right, this year, no need for paper raffles, you can organise your Secret Santa event directly on Eurécia!
This card is only visible to administrators until the Secret Santa event is launched as follows:
- Click on 'Let's do this!'
- Choose whether your Secret Santa draw will be organised by:
- Company: the draw will be organised across the entire company
- Department or Branch: in this case, the draw will assign each collaborator a person from their department or branch
- Determine the registration deadline
- Set the date for the gift exchange
- Explain to your coworkers how the Secret Santa event will unfold
- When you're happy with everything, click on 'Run the event'!
Once the event is launched, your colleagues will receive a notification alerting them to the event and see the Secret Santa card appear on their homepage. They can then decide whether or not to participate and even provide some information about their preferences to help their Secret Santa.
Following the organisation of your Secret Santa event
Once my Secret Santa is launched, I can track and edit it from the Secret Santa card by clicking on the three dots.
This drop down menu allows you to:
- Modify the organisation of the event
- Create an Office Life article to announce the event
- Send a reminder to employees to encourage them to register
- Export the list of participants to reveal all the secrets of the draw
- Close the event when everything is finished
- And of course: Start the draw!
Once the registration deadline has passed, you can launch the draw. Each registered employee will receive directly on Eurécia the name of the person to whom they must give a small gift.
To do this, simply click on the three dots and select 'Start the draw'.
Revealing your colleagues' secret Santa
Each employee will be able to reveal (discreetly) the colleague to whom they must offer a gift by simply clicking on 'Reveal my Secret Colleague'.
If the randomly selected employee has indicated their preferences, these will be specified in 'Their tastes' and once the gift is ready, all that remains is to click on 'My gift is ready'!
Our tips for organising a successful Secret Santa event!
Do not make participation in Secret Santa mandatory
A the risk of surprising you, some people are allergic to the holiday season, while for others, the idea of giving a gift and getting it wrong fills them with dread. In short, not everyone puts up their Christmas tree on December 1st with “All I Want For Christmas is Yooooouuuu” playing in the background. 🎄
So, rule number 1 for properly organising your Secret Santa is to leave participation to everyone's discretion.
Specify a maximum amount for the gift
Exchanging gifts with colleagues is a great way to strengthen bonds, but the goal isn't to break the bank. As the organiser of the Secret Santa event in your company, we therefore advise you to set a reasonable budget. In addition to being affordable, it also allows you to stimulate your colleagues' imagination.
You can also, if you wish, tailor gift ideas to align with your company's values. For example: something local, handmade, innovative or organic!
Choose the distribution day carefully
Not too early, not too late! Because the holiday season also means holiday time. Set a distribution date that will allow your employees to give their surprise before leaving for the holidays.
Our advice for organising distribution effectively: define a point of contact (usually the organiser of the Secret Santa) to collect the gifts before the day of distribution. They will then be responsible for placing each surprise on the desks of the employees.
Tell your colleagues to clearly write the name of their Secret Santa on the gift to make distribution easier. 😉
