Eurécia allows you to set up night schedules.
It is also possible to automatically trigger calculation rules relating to an increased rate for this working time: on a daily basis, combined (or not) with existing weekly overtime calculation rules.
Night hours can therefore be counted on the actual workday, or on the shift start day. More broadly, hours after midnight worked during the night from Sunday (week A) to Monday (week B) can all be counted on week A.
In this article:
What does the law say?
The law states that working hours must be assigned to the calendar day on which they are worked. However, in certain branch agreements, the rule that assigns hours to the day (and week) of starting shift is applied.
Eurécia therefore allows you to apply both operating modes.
Textbook case
Take the example of a person starting work on Sunday at 21h and finishing on Monday at 6h.
The law indicates that in our example, the 6h at the end of the night must be assigned to Monday and not to Sunday.
In the first case, compensation linked to night hours worked across two days must be assigned to the day (and week) of starting shift.
Also, when starting work at 21h on Sunday and finishing on Monday at 06h, the 9h worked must be assigned to Sunday (for daily calculation rules) and to the week in which the shift start occurs (for weekly calculation rules).
In the second case, the first 3 hours will be assigned to Sunday and the next 6 to Monday as well as to the following week.
Configuration
When night hours span two days, the system allows you to declare the worked time on a single line, on the shift start day (21h-06h for example).
However, if the operating mode defined by law is applied, then a line on day 1 must appear from 21h to 24h, for example, and a line from 00h to 06h on day 2.
Timesheet or activity entry will be the same in both cases: 21h-06h.
If a clocking system is in place, clocking out will automatically assign a departure time and therefore an end of workday time even if clocking out actually occurs on the following day.
In other words, both operating modes are compatible with using a clocking terminal.
Night hours are often subject to increased rates and regulations. This is configured in 3 steps:
- Work schedule configuration
- Overtime, special time and other increased rates configuration
- Flexibility configuration in case of clocking
Work schedule
Access: Admin Area > Horaires de travail > Ouvrir l'horaire concerné > Onglet Général
Schedules must follow this principle: first time slot/second time slot on worked calendar days.
Two examples:
Monday: 14h-19h / 21h-24h
Tuesday: 00h-06h / 21h - 24h
Wednesday: 00h-06h /21h-24h
or
Monday 14h-19h / 21h-06h
Tuesday: ..-.. / 21h-06h
Wednesday: ..-.. / 21h-06h
By opting for the first example, it is possible to count worked hours on the shift start day or on the following day.
In the second example, you must define the day that will inherit these hours and their possible increased rate, namely, the shift start day.
To ensure that working time is attributed to the shift start day (and week), check the 'Gestion spéciale' box to 'imputer la durée de toutes les plages de travail consécutives sur le jour de prise de poste (en cas d'horaire de nuit)', located below the work schedule table in 'Paramètres avancés'.
Also, when using a clocking terminal, it is important to define the maximum number of hours allowed.
If, for example, workdays must not exceed a maximum of 10h and clocking out exceeds this limit, you can set an automatic end time.
To do this, enter this maximum duration in the company record:
Access: Admin Area > Paramètres généraux > Horaire de travail > Onglet Général
Go to the 'Paramètres avancés ' section
- Set the number of hours in the 'Durée maximale entre deux plages de travail consécutives (en cas d’horaires de nuit)' menu
- Save
Also, you can count and apply increased rates to overtime, which therefore exceeds the scope of the work schedule.
Overtime, special time and other increased rates
Access: New Admin Area > Temps & Activités > Profils d'heures supplémentaires
You can trigger a calculation whenever an employee works on a certain day (Sunday, Saturday or any day of the week).
It is also possible to combine two rules: one that depends on the calendar day involved, the other that contributes to a weekly calculation.
In other words, an employee can trigger an increased rate if they work at the weekend AND because they exceed a set number of hours.
Below is an example of an increased rate for night hours:
Flexibility
If a clocking terminal is in place, you can exercise some flexibility regarding lateness, break times, etc.
To configure this feature, consult the article 'Managing working time flexibility in case of clocking'.
