If you have part-time employees or employees working incomplete weeks, here is a TO DO LIST to help you review your settings and allow Eurécia to automatically manage the calculation of NWDs (non-working days).

Set up leave taking on non-working days
Access: Admin area > Paramètres généraux > Ouvrir Horaires de travail
- Click the work schedule to set up
- Click the 'Plus d'options' button
- In the details, enter '0.5' in the 'équivalent jours' area for leave and absences, whether the ½ day is worked or not
Example: Wednesday afternoon non-working

Note: leave '0' in the 'équivalent jours' area for leave and absences on Saturdays and Sundays. If leave is in business days, simply setting Saturday to 'Ouvrable' enables its deduction when requesting leave.
For a person working Tuesday to Saturday, proceed in the same way by shifting the 0.5 to the days concerned.
For a person working Tuesday to Saturday in business days, shift the weekly rest day from Sunday to Monday.
⚠️ Warning!
The 'ouvrable' position in the 'Gestion de congés' column only appears if one of your company's absence types is in business days.
Enter the activity percentage
Access: Admin area > Salariés et utilisateur > Ouvrir employee record > 'Emploi' tab > 'Contrat' section
- Select the activity type 'Temps partiel'
- Specify the employee's activity percentage
Note: for full-time employees who do not work certain half-days, simply enter an activity percentage of 99.99%. Having an activity percentage other than 100% allows the system to manage non-working days automatically.
Enable full-time equivalent accrual and requests
Access: Admin area > Leave & Absences > Ouvrir Profils Congés
- Open the leave profile concerned
- Check the 'Cumul et prise de congés à équivalent temps plein' box for the absence types concerned
- Save
Management of non-working days
Access: Admin area > Leave & Absences > Ouvrir Types de Congés
- Open the leave type concerned
- Check the boxes related to the deduction of non-working days
Note: when the 'Inclure les jours non travaillés' box is checked, the absence is automatically extended until the day before work resumes, including usually non-worked days in the request. The absence dates will then be automatically modified to comply with the law.
Example: a part-time employee works Monday, Tuesday, Thursday, and Friday, with leave in working days. They therefore have 25 days of annual leave to take, in full-time equivalent, including 5 days to be taken on Wednesdays, which are usually non-working days.
The number of days deducted in case of absence depends on the options 'Respecter l'obligation du décompte minimum des jours non travaillés' and 'Respecter l'obligation du décompte maximum des jours non travaillés'.
Specific case of sending absences via SILAE API:
Do you send your absences to SILAE from your variable payroll elements grids? Good news! You can send the number of absence days (and therefore the deducted non-working days) by checking the box below:
If the box is not checked, only the start and end dates of the absences will be sent to SILAE.
Case 1 (most common): minimum and maximum deduction obligation
The leave balance contains a number of non-working days to be requested, calculated pro rata to the number of non-working days in the work schedule. This number must strictly be respected when requesting leave.
In the example, 5 non-working days must be taken over the leave period (corresponding to the 5 Wednesdays).
- If the employee requests a week of leave from Monday to Friday, 5 days are deducted, including 1 non-working day on Wednesday
- If they only request Monday and Tuesday, Wednesday will automatically be deducted up to a limit of 5 Wednesdays over the period
Case 2: no deduction obligation
The leave balance does not have a predefined number of non-working days to take. An employee who requests an absence will systematically have non-working days included in their absence request.
In the example, the employee will not have set days to take on non-working days. The number of days requested on non-working days will fluctuate depending on the absences requested.
- If the employee requests 12 Tuesdays of leave, 12 Wednesdays are also deducted. They will then only have one day of leave left to take
- If the employee requests 25 Mondays, no non-working days will be deducted
Case 3: minimum deduction obligation only
The balance contains a minimum number of non-working days that must be requested. This number is defined based on the work schedule.
In the example, the 5 non-working days must be taken during the leave period.
- If the employee requests 10 pairs of Thursdays and Fridays as leave, they will have 20 days of leave requested. The remaining 5 days must strictly be requested on Wednesdays (non-working), which means the employee loses these 5 days
- If the employee requests 12 Tuesdays of leave, 12 Wednesdays are also deducted. They then have only one day of leave left to take
Case 4: maximum deduction obligation only
The employee does not have a minimum number of non-working days to request. They can therefore request all their days on working days. However, they will have at most the defined number of non-working days deducted in their leave requests.
In the example, a maximum of 5 non-working days will be deducted over the leave period.
- If the employee requests 10 pairs of Thursdays and Fridays as leave, they have 20 days of leave requested. The remaining 5 days can be taken as the employee wishes. If they request a Monday and Tuesday, Wednesday is also deducted
- If the employee requests 12 Tuesdays of leave, the first 5 Wednesdays are also deducted. Future absences placed on Tuesdays will not result in Wednesday being deducted
Note: once changes are made, save and wait for our automated task to run overnight.
