Are you setting up Eurecia? You may need to reproduce your geographical or structural organization in Eurecia.
You can do this by creating 'Structures', which can be geographical sites, legal entities, or any other level of your choice 😊 ! This new perimeter will be an additional sort, an additional level that will enable you to distribute your employees and find them more easily.
Of course, this doesn't apply to every company, so it is not a mandatory setting.
Who is concerned by this article?
Administrators in charge of setting up Eurecia.
What will be covered in this article:
Set up structures
Access: Admin area > General settings > Company file > Organization tab
Create 'mother' structures
'Mother' structures are the first levels of your organization. You can create as many levels and sublevels as you like.
- click on the ''
- fill in the name of your structure
- indicate a structure code: this code will be used for data exports and imports. It must be unique. In general, we use the name given to the structure, unless two structures have the same name!
- then fill in the various optional fields:
-
- CDSID number (corporate directory system identification)
- TIN code (Taxpayer Identification Number)
- establishment code
- company code
- bank accounting code
- journal code / transfer code
- address
- select the department or structure manager from the drop-down menu. This information is optional, but it may be very useful for setting up your validation circuits (optional).
- insert the bank details for each structure, if they are different from those of the company (typed in the company file > General tab). This information will be included in the SEPA (Single Euro Payments Area) transfer file with the Expense module.
- enter a file number (optional)
- write a comment if necessary (optional)
Create sublevels
When main structures (or 'mother' structures) are created, you can add different sublevels.
- click on the '' located to the left of the structure name
- select 'Insert line': this action inserts a new line below the current one, but on a 2nd structure level. This substructure will be attached to the previous one.
- fill in the various blanks
- save
Modify levels and sublevels
It is possible to change the order of the structures or substructures, or simply attach a substructure to another 'mother structure'.
- click on the '' located to the left of the name of the structure you want to move
- by clicking on 'Move up' or 'Move down', you can move the structure and change its level
- save
Move a structure to a higher level
It is possible to raise a substructure to a higher level. For example, if you want a substructure to become a 'mother' structure, you can move it to a higher level.
- click on the '' located to the left of the name of the structure you want to move
- by clicking on 'Left', you can take the structure to the upper level
- save
Remove a structure
If you want to delete a structure :
- click on the '' located to the left of the structure name that you wish to delete
- click on 'Delete'
- save
In case of a structure removal, it is important to attach the employees of this structure to their new structure.
Once your structures are created, you can visualize them in detail or synthetically, using the '+' or '-' buttons on the left to unfold/fold the different structure levels.
Don't forget to save your work 😁!
