Define an approval workflow
There are two types of approval workflows in Eurécia:
- Company approval workflow: defined once in the company record, it applies to all employees
- Employee approval workflow: defined on a case-by-case basis in each employee record, it takes precedence over the company workflow
We recommend setting up a company approval workflow, which will apply to all employees, and managing exceptions on a case-by-case basis from employee records.
Company approval workflow
Access: Admin Area > Open Company Record > 'Settings' tab
- Go to the 'Approval workflow' section
- Check the 'Activer le circuit de validation société' box to apply the workflow to all employees
- Insert a line for Leave & absences approval

- Select the 'Validation congés et absences' role (or 'Validation de tous les modules' if it is the same workflow for all modules
- Select the approval level: you can place one person at level 1, then another at level 2, and so on, to carry out intermediate approvals
- Select the approval manager: this is the person who will approve the leave
- Select the possible approval transfer (optional):
- Not allowed: approval cannot be transferred to a third party
- Anyone with approval authority: approval can be transferred to anyone with a profile including the Leave Manager View
- Manager: transfer possible to the Manager of the employee submitting the request
- Company Manager
- Department Manager
- Structure Manager
- Workflow activation condition (optional): allows you to condition the workflow activation; outside of these conditions, the rule is not activated
- For the leave and absences module, the activation condition is the type of absence; this allows sending a specific type of absence for approval to a specific person
- Validate the rule using the checkmark on the right at the end of the line
- Save
Note: the approval rule created in the company record applies to all employees. To create exceptions, go to the record of each employee concerned by the exception.
Employee approval workflow
Access: Admin Area > Open Employees and users > Open Employee record
- Go to the 'Rules' tab
- In the 'Approval workflow' section, all rules defined in the company record appear by default (if any)
- Insert a line for absence approval by clicking '

Note: if a leave approval rule already exists in the company record, the one entered in the employee record will take precedence over it. The company rule will then be greyed out, as shown in the screenshot below.

⚠️ Warning!
If several approval rules are at the same level, approval will be carried out by either manager. Both will receive the request simultaneously, and it will disappear as soon as one or the other has approved it.
